The ceremonies and events coordinator is responsible for the organization of ceremonies and events that take place at the university, whether ordered from within the university or without. Those who wish to hold an event are required to complete an order form, which is to be submitted to the coordinator. The process of ordering and executing the event is performed with the help of a computerized system, which was developed for that purpose by the C&MD auditing unit.

LANDSCAPING University gardening crews are responsible for upkeep of the gardens on the campuses at Edmond Safra Campus-Givat Ram and Rechovot; on the Mount Scopus campus the gardens are maintained by a garden contractor who is supervised by C&MD. Despite the lack of funds C&MD invests much in the green environment. For example, this year several refurbishing projects were conducted on some old gardens in Edmond Safra Campus-Givat Ram. (To Photo Gallery) CLEANING SERVICES The degree and scope of cleanliness are determined in conjunction with the university administration and within the framework of a yearly budget. Cleaning contractors chosen by tender supply the services. Their jobs are determined by the nature of the area to be cleaned. A cleaning coordinator is located in each campus. He (she) is in daily contact with the contractors and supervises their work. In order to follow up on the quality of the cleaning services we occasionally conduct a survey among the university employees in the various departments.  VEHICLES AND TRANSPORT The transport safety officer coordinates the servicing of the 79 vehicles in the university: supervising their safety level and the degree of their maintenance, renewing licenses and insurance policies, administering logbooks, and overseeing their usage. A year has passed since the installation of Pazomat in the university vehicles. This has improved the service and has enabled more efficient control. HAULAGE AND PORTERAGE An external contractor provides haulage and porterage services (according to a  yearly tender and the prices determined). Orders are to be referred to the  haulage contractor of each campus. TENDERS AND CONTRACTS Tenders The Construction and Maintenance Department hires external contractors to perform its varied tasks, such as planning, performance, management and supervision of engineering jobs in building, electricity and systems, as well as services such as cleaning, security, gardening, waste removal, fuel supply, gas and system maintenance. In order to select the best service for Mabat and for University departments at the best price and according to prevalent criteria, the service provider is chosen via a tender (whether open or closed) by the University's Services, Construction and Development Tenders Committee. In accordance with management directive no. 18-002, the Tender Committee handles hiring of building and development services for Mabat and other University departments that cost more than $20,000 including VAT. In the past five years the Committee has handled roughly 104 tenders a year. Contracts After the tender is awarded Mabat handling formalization of the contract with the contractor by means of a contract, receipt of bank guarantees, and approval of safety clauses for the service. Mabat follows-up on contract validity and ensures that securities and insurance are valid for the entire period of work/service provided, as well as the guarantee period for the quality of the work. This monitoring takes place after the termination of the contract, which can last up to 6 years. An ongoing update of rates for these services is conducted according to the conditions of each contract. All the above monitoring is performed by means of a computer program developed and maintained by the Mabat accounting department. Another update made to this program is to a list of contractors and their specializations which serves as a resource for inviting them to closed tenders.
